Registration Terms and Conditions

Organization of the 48th FEBS Congress

FEBS has appointed the Italian Society of Biochemistry and Molecular Biology (SIB) to host the 48th FEBS Congress ("FEBS 2024"; the "Congress"), supported by the Congress Secretariat, AIM Italy S.r.l. ("AIM"). AIM is responsible for organizational aspects of the Congress for participants. On registering for the event, participants (also referred to as "you") are entering an agreement with AIM. By registering to the Congress, you are indicating your acceptance to the terms and conditions set out below.

Registration Fee

All participants must register via the online registration system. Registration fees for different categories of Congress participant are shown on the Registration page here.

Registration Fee for Participants includes:

  • Abstract handling
  • Admission to all scientific sessions
  • Entrance to poster & exhibition area
  • Lunches and coffee breaks according to the programme
  • Name badge and pocket programme guide
  • Access to the Congress app for the event
  • Invitation to the Welcome Reception

Registration Fee for Accompanying Persons includes:

  • Entrance to poster & exhibition area
  • Invitation to the Welcome Reception 

Methods of Payment

Payments can be made via credit card or bank transfer. Payment must be made before the stated deadline that applies to your application. Payments must be made in euros; no other currency will be accepted.

Payment via Credit Card

Visa or Mastercard are accepted for credit card payments, which can be made online during the registration process. Confirmation of your credit card payment, along with registration confirmation, will be made available immediately after payment by an on-screen message and via an email. If you do not receive such a confirmation, nor a payment failure notice, please contact the Congress Secretariat.

Payment via Bank Transfer

All fees should be paid in EUR (€), free of all bank charges. Participant’s Name/Last Name and Congress Name (as "FEBS 2024") must be indicated on the transaction receipt of the bank transfer. Following the payment, receipt of the transaction must be sent to the Congress Secretariat. If you do not receive confirmation of your payment within 14 business days after the payment, please contact the Congress Secretariat. Bank transfer should be made to the following:

Payments by bank transfer will only be possible until May 31, 2024. After this date, registrations can only be made with credit card payment. No cash payments can be accepted at the venue registration desk.

Registration Cancellation & Refund Policy

All registration cancellation requests should be sent to the Congress Secretariat in writing by e-mail to febs2024.registrations@aimgroup.eu

  • Until 12 18* April 2024, for FEBS bursary applicants and Sprinzl scheme registrants – a full registration fee refund will be given if requested if the registrant fulfilled the eligibility criteria and is not accepted into one of these support schemes.
  • Until 12 18 April 2024, for other registration fee refund requests – the full registration fee will be refunded minus a 50 EUR administrative fee.
  • From 13 19 April to 31 May 202450% of the registration fees will be refunded.
  • All refunds will be processed within 30 days after the Congress ends.   
  • From 01 June 2024 – no refund will be given.
* The initially stated refund dates were extended to 18 April 2024 to give participants the same time period for refund requests after a later abstract outcome notification date


Cancellation of other bookable items:

  • Until 31 May 2024 – a 20 EUR administrative fee will be deducted from all refunds. 
  • From 01 June 2024 – no refund will be given.

Change in registered name:

  • From 01 June 2024 – a name change will be considered as a modification and will be charged a 30 EUR administrative fee.

Travel Insurance

You should seek and follow the advice of your government before booking travel and accommodation for the Congress and before travelling to the event. You are solely responsible for making your own appropriate travel and other insurance arrangements before booking travel and accommodation for the Congress. FEBS, SIB and AIM shall not be liable to you for any losses incurred.

Modification and Cancellation of the Congress

The Congress organizers are intending to run the Congress as a physical event, but if the organizers decide at any time that it is not possible to continue with a physical event due to pandemic or other such restrictions, the Congress may be held wholly or partly as an online meeting. The Congress organizers reserve the right to modify the Congress programme, which is published as an indication only.

If the physical and virtual Congress is cancelled we will refund you the registration fee. In the unlikely case that the 48th FEBS Congress cannot be held in whole or in part or virtually due to any event beyond the Organizers’ reasonable control including (but not limited to) pandemic, riot, fire, explosion, accident, flood, earthquake, sabotage, strikes, acts of any government, etc., neither FEBS nor SIB nor AIM shall be held liable for any costs or losses incurred, such as transportation and accommodation costs, or any other direct or indirect loss or consequential damage.

VISA Requirements

All non-Italian nationals entering Italy must provide valid travel documentation. Delegates who hold neither an EU passport nor a Schengen visa should check as soon as possible the Italian Ministry of Foreign Affairs’ website to see if they require a visa to enter Italy, as visa applications can take as long as 120 days. Visa regulations depend on your nationality and country of origin (visit https://vistoperitalia.esteri.it/home/en for more information). For the most updated information regarding visa requirements, we suggest you contact your local consulate for full and official instructions on the specific visa regulations and application procedures that apply to you.

If a visa is required, delegates should apply to the Italian Diplomatic and Consular Representations in their country of residence with the documents outlined on the Ministry of Foreign Affairs’ website. As outlined on the Congress’ VISA webpage, an invitation letter to the Congress may be downloaded online from your registration account on this website, and if a guarantee letter is needed to support your VISA application, MiCo dmc (febs2024.hotel@micodmc.it) can assist you.  Presentation of the requested documentation does not guarantee that the visa will be issued. Please note that the VISA guarantee letter will only be available to participants who have paid their reservation registration fee.

Please note that FEBS, SIB and AIM will not be able to contact or intervene with any Embassy or Consulate office on behalf of a registrant. The invitation letter does not financially or legally obligate FEBS, SIB nor AIM in any way. All expenses incurred in relation to the event and to obtaining a visa are the sole responsibility of the registrant. FEBS, SIB and AIM do not accept any responsibility for registration, travel, accommodation and/or other costs incurred due to the rejection of a registrant’s visa application

Disclaimer

The Congress organizers take all reasonable care in making arrangements, and shall in no event be liable for acts or omissions in the event of injury, damage, loss, accident, delay or irregularity of any kind whatsoever during arrangements organized through contractors. Hotels and transportation services are subject to the terms and conditions under which they are offered to the general public.

In the absence of any negligence or other breach of duty by FEBS, SIB or AIM, these parties shall not be responsible for any bodily injury, illness, death or property damages (including theft) sustained by participants during the Congress.

In any event, neither FEBS nor SIB nor AIM accept liability for damages or costs in the event of bodily injury, death, property damage, illness, disruption to travel plans and costs incurred as a result of events outside of the reasonable control of FEBS, SIB and AIM, including (but not limited to) pandemic, epidemic, orders of public authority, sanitary crisis, restrictions to travel, natural disaster, adverse weather conditions, fire or closure of airports.

Data protection

FEBS is the data controller for personal data collected on this platform, and AIM the appointed data processor when processing personal data on behalf of FEBS. AIM may act as an independent data controller for its own activities such as payment processing. Governing Law

Any dispute resulting from the above terms and conditions will be subject to Italian law, and by accepting these terms you are submitting yourself to the exclusive jurisdiction of the courts of Italy.
